A Grand Arrival
Guests were dropped off at the palace gates before being welcomed into a fleet of vintage cars, turning the journey through the palace grounds into an experience in itself and setting the tone for the evening.
A Wedding That Began in the Air
Charter flights from Delhi and Mumbai transformed the journey to Jodhpur into part of the celebration, with live musicians, customised seat covers and a specially planned in-flight menu.
Royal Doli Bridal Entry
The bride arrived at the mandap in a traditional royal doli, with fireworks and cold pyro creating a dramatic and memorable entrance.
THE SCALE OF THE WEDDING
With approximately 600 guests staying across six five-star properties, this was a wedding that needed to function as one experience despite being spread across multiple hotels. The immediate family and close guests stayed at Umaid Bhawan, while the wider guest group was accommodated across five additional properties.
The planning therefore extended well beyond the palace. Every movement—from the moment guests left their home cities to their arrival in Jodhpur, transfers between hotels and the final departure—was treated as part of the overall wedding journey.
THE MAIN CHALLENGES
The scale and distribution of the guest group created two key challenges: coordinating hundreds of people across six hotels and ensuring that the wedding still felt personal despite its size. Transport, communication, rooming, hospitality and event timings all had to work together without guests feeling the complexity behind the scenes.
Multi-Hotel Movement
Guests needed clear, individualised information on where to be, when to leave and how to reach each celebration. A generic itinerary would not have worked across six properties.
Creating One Connected Experience
With different hotels, multiple event environments and a five-day programme, there was a risk that the wedding could feel like a series of separate events rather than one celebration.
HOW WE SOLVED IT
Charter Flights
The destination experience began before guests reached Rajasthan. Charter flights were organised from both Delhi and Mumbai for guest arrivals and departures, allowing large guest groups to travel together and making the journey itself part of the celebration.
The flights were carefully planned as an extension of the wedding. Live musicians performed during take-off from both cities, seat covers were customised with the couple’s logo, and a pre-planned menu was arranged for the journey. Instead of treating air travel as logistics, we used it as the first touchpoint of the wedding experience.
Personalised Guest Communication
With guests distributed across six properties, we built a central RSVP and hospitality system to keep rooming, hotel assignments, travel information and function schedules connected. A wedding website or app can provide each guest with a personalised itinerary based on their hotel, while WhatsApp communication can be segmented by hotel or guest group so that guests receive only the information relevant to them.
The digital layer can also give guests access to venue locations, timings, dress codes, emergency contacts and transport details in one place, reducing dependence on repeated individual calls while keeping the hospitality team available for personal assistance.
A Central Hospitality Network
Each hotel had a dedicated help desk, creating a familiar point of contact for guests wherever they were staying. Salon and ironing facilities were also arranged at the respective properties, ensuring that the level of guest care remained consistent across the accommodation network.
Behind these individual desks, the central planning team coordinated information across all six hotels. This allowed guest requests and changes to move quickly between properties without requiring the family to act as the communication link
Turning Transfers into Experiences
The journey to Umaid Bhawan was deliberately designed as an experience rather than a simple transfer. Guests were brought to the palace gates and then welcomed into a fleet of vintage cars, creating a sense of occasion as they travelled through the grounds towards the main entrance.
Fire dancers and LED performers added visual moments along the route, while the arrival was supported by the wedding’s live musicians. The result was a gradual build-up to the palace rather than a conventional drop-off.
Live Musicians
The 30 live musicians were used throughout the celebrations and adapted to the mood of each event, creating continuity without making the entertainment repetitive. Guest favours were also thoughtfully varied by occasion, including shawls for women and scarves for men at the Sangeet
Each celebration also featured a dedicated sheesha lounge, positioned as a relaxed social space where guests could unwind and converse away from the main activity while remaining connected to the festivities.
Food, Beverage & Interactive Experiences
The pool party was designed around three distinct bar experiences—a gin and tonic bar, a cocktail bar and a standard bar—giving guests different ways to engage with the afternoon. Molecular gastronomy added an interactive element, while bartenders adapted the drinks experience to suit the character of each function.
The intention was to ensure that hospitality was not simply about serving guests, but about creating moments they could discover and talk about throughout the celebration.
A Thoughtful Guest Welcome
The welcome experience continued at the hotels through carefully curated guest hampers and event-specific touches. The overall approach was to make guests feel looked after from arrival, with practical information and thoughtful details available before they needed to ask for them.
Welcoming Guests at Scale
Twenty-five international hostesses were deployed across the celebrations, with their styling adapted to complement each event. This created a recognisable welcome team while allowing the visual experience to change with each function.
The combination of distributed hospitality teams, central coordination and clear guest communication meant that a 600-guest wedding could still feel personal and well attended to.
Entertainment & Production
Entertainment was curated around the mood and identity of each celebration. The Sangeet brought together Guru Randhawa and a two-dhol setup, creating a high-energy musical experience that became one of the evening’s standout moments. The bride also performed an interactive dance performance at the Sangeet, creating a personal moment that brought her guests into the celebration. Across the wider celebrations, live musicians, dancers, LED performers, fireworks and cold pyro were introduced at carefully selected moments to build energy while complementing the heritage setting.
For the wedding itself, the bride’s royal dholi entry was designed as a complete arrival moment, combining tradition with production to create a strong visual transition into the ceremony.
A Personal Farewell for the Couple
The wedding experience extended through the couple’s departure. On their return to Mumbai, we arranged a private surprise at the airport through Pranaam Meet & Greet Services, complete with gifts and a cake-cutting moment. It was a personal final touch that brought the celebration to a close even after the main wedding had ended.
THE FINAL OUTCOME
The wedding became a connected five-day journey rather than a series of separate events. From charter flights and in-flight experiences to multi-hotel hospitality, palace arrivals, live entertainment and personalised guest touches, each stage was designed with the same level of thought.
The scale of the wedding required more than additional manpower. It required a system—one that connected technology, central planning and multiple on-ground teams while still allowing the experience to feel personal. Our role was to manage that complexity quietly, so the families and guests could experience the grandeur of the wedding without experiencing the logistics behind it.
