A Bride’s Surprise on Screen
The bride’s surprise performance for the groom was staged against an interactive screen, creating a dynamic visual layer around her choreography and turning a personal moment into one of the Sangeet’s most memorable performances.
A Traditional Puneri Baraat
The groom’s arrival combined Puneri dhol, tutari, a horse-led baraat and a traditional horse dance before the bride’s family welcomed him into the ceremony.
A Reception Designed for 3,000
The reception combined western musicians, a long signature mocktail bar and a fireworks finale, giving a very large celebration a strong experiential finish.
THE BRIEF
The wedding was planned across three venues and three very different guest scales: approximately 300 guests for the Haldi, 500 for the Sangeet and 3,000 for the wedding and reception. The planning challenge was to make each event feel distinctive while keeping the overall celebration connected.
Hyatt Pune offers flexible indoor and outdoor wedding settings, while the scale of the final celebration at Magarpatta required a different operational approach altogether.
THE MAIN CHALLENGE
The difference between 300 and 3,000 guests required different operating models for arrival, parking, entry, seating and hospitality. Moving between venues also meant guests needed clear information and reliable coordination.
For the large wedding, the challenge was to preserve the couple’s personality despite the scale. The guest-facing experience had to feel effortless while the planning team managed movement, production and vendor timelines behind the scenes.
HOW WE SOLVED IT
A Guest Journey Built Around Each Venue
A wedding website or app can centralise every venue map, timing, parking instruction, dress code and contact point, supported by segmented WhatsApp alerts. For the larger wedding, arrival zones and dedicated teams can manage parking, drop-offs, security queues and seating without making the operation visible to guests.
Haldi - Traditional, Warm & Welcoming
The Haldi retained a traditional floral language with yellow marigolds. The couple entered together to music accompanied by a four-piece dhol, turning their arrival into a lively welcome rather than a formal stage moment.
Sangeet - A Personal Surprise
The Sangeet moved into a high-energy entertainment format with Raghav Sachar and a powerful DJ finale. The bride’s surprise performance for the groom was staged in front of an interactive screen, allowing visuals to respond to and enhance the choreography.
Personalised Bar Experience
Customised cocktails were curated around the couple’s preferences, giving guests a small but memorable detail they could associate with the evening.
Wedding & Reception - Pune at Full Scale
The wedding opened with Puneri dhol and tutari, followed by the groom’s horse-led baraat and a traditional horse dance. He was then welcomed by the bride’s family before entering to his chosen song. The bride’s floral-chaddar entry created a graceful contrast.
For the reception, western musicians welcomed guests at the entrance, followed by a three-piece musical performance and a long signature mocktail bar. Fireworks provided the final visual punctuation to a 3,000-guest celebration.

A central control team can track guest movement, vendor timelines and production cues while a dedicated hospitality team handles guest-facing requirements. This keeps the operational complexity away from the couple.
Personalised Details & Smarter Guest Communication
For the 3,000-guest wedding, communication can be segmented by family group or guest category, with the on-ground team positioned at parking, entry and hospitality points. This combination of digital clarity and visible human support helps the operation feel effortless to the guest.
For a multi-event wedding, these small details are where planning can create personality. A wedding website or app can carry the master itinerary, venue maps and location pins, while scheduled WhatsApp reminders can be sent before each function so guests know where to be and when.
At one of the Roka celebrations, a simple cake cutting became an unexpected talking point. The cake was cut with an oversized ceremonial knife, turning a familiar ritual into a playful visual moment and a memorable photograph.
THE FINAL OUTCOME
The wedding moved successfully through three different scales and environments while maintaining a clear sense of personality. Traditional Pune elements, technology-led performance, personalised cocktails, live entertainment and large-format production came together without allowing the size of the wedding to overwhelm the experience.
