A traditional Rajasthani dining experience designed for approximately 150 guests at a time, thoughtfully created to bring the destination’s character into the celebration.

A significant ceremonial moment that added a strong traditional character to the sunset wedding.

Floral Bridal Entry

The bride’s chosen song set the tone for an intimate and personal entrance, with a floral chaddar creating a beautiful visual frame as she made her way into the wedding ceremony.

CHOOSING THE LOCATION & VENUE

The couple came to us with a clear vision: a destination wedding in India where traditional rituals and lively celebrations could come together seamlessly. Our role was to simplify the search and guide them towards a destination and property that worked both for their vision and the practical requirements of a 450-guest wedding.


Beach vs. Heritage Property

We first explored destinations such as Goa, but the family felt that a more royal and traditional setting would better suit the wedding.

Choosing the City

Within Rajasthan, we considered cities including Jaipur and Jodhpur before Udaipur emerged as the right fit for its romantic setting and character.

Finding the Right Hotel

We assessed several properties. The lake hotels offered an exceptional setting, but their space and room inventory were not suited to the scale of the wedding. The Ananta Udaipur offered the lawns, larger event spaces and accommodation required, while allowing each function to have its own identity.

THE MAIN CHALLENGES

With 450 guests at a large hillside property, the key challenge was making the experience feel effortless despite the scale and movement involved.


The Venue Layout

The Ananta Udaipur is built across a steep hillside and relies heavily on golf carts for internal movement. Moving a large number of guests between rooms and function areas at the same time could have created significant delays, particularly for elderly guests and functions with tight timelines.

Guest Management at Scale

We also had to coordinate airport arrivals, in-room welcome hampers, guest salon requirements and clothing pressing for a large group, while keeping communication clear and organised.

HOW WE SOLVED IT


Managing Guest Journeys & Communication

The guest journey began well before arrival. A dedicated two-member RSVP team managed communication and invitations, then became part of the on-site hospitality team. Because guests already knew the team, the transition from RSVP to arrival felt personal rather than transactional.

To support the team at scale, we created a dedicated wedding app that brought key information into one place. Guests could access the wedding schedule, important contacts and updates, while WhatsApp alerts were used for timely reminders and changes..

Arrival & Transfer Management

At the airport, uniformed team members and dedicated wedding branding gave arriving guests an immediate point of contact. Water and snacks were arranged for the journey to the hotel. Flight-status information was integrated into the app, helping our team anticipate changes and coordinate transfers more efficiently.

A Welcome Designed Around the Destination

Welcome hampers were curated with the family and combined useful essentials with destination-specific touches. Along with the welcome letter, the hamper included a simple venue map and emergency contact information, giving guests the practical details they needed from the moment they arrived. The wedding app provided the same information digitally, allowing guests to access it throughout their stay.

Managing Movement Within the Property

Rather than relying entirely on the hotel’s golf carts, we brought in an additional fleet of internal vehicles. A central coordination desk managed pickups around function timings, reducing waiting times and giving particular attention to elderly guests. The combination of live coordination, additional transport and in-app location information helped make movement around the large property easier for guests.

Other Guest Requirements

We also managed the practical details that can become a source of stress during a destination wedding. We helped the bride shortlist premium makeup artists and hair stylists, created a dedicated guest styling lounge within the resort for quick touch-ups between events, and set up a central iron and pressing room for heavy traditional outfits.

Music, Artists & Entertainment

Entertainment was curated around the character of each function.

Mehendi Lunch

Live Artist - Soft acoustic folk music kept the atmosphere relaxed and conversational.

Roka & Sangeet

A high-energy DJ, custom stage lighting and cold pyros created a more dramatic setting for the couple’s entrance and evening celebrations.

Baraat

A traditional dhol and brass band brought energy to the procession, while colour-coded safas created a coordinated visual identity for both families.

Special Cultural Experiences

Immersive Rajasthani Lunch

Instead of a conventional buffet, we created an elegant sit-down Rajasthani lunch for approximately 150 guests at a time. A local artisan market and foot-massage station added to the destination-led experience.

Sunset Wedding & Ganga Aarti

The bride entered beneath a floral chaddar to her chosen song. The Ganga Aarti that followed became a defining ceremonial moment. We created a safe, elevated wooden stage for the priests and provided an advanced sound system so the chants could be clearly heard.

THE FINAL OUTCOME


From the initial destination search to the final guest departure, we connected planning, hospitality, creative direction, technology and on-ground execution into one experience.

Our value went beyond coordinating the individual elements of the wedding. We built a connected guest journey in which technology supported the hospitality team: the RSVP team established the relationship, the app kept information accessible, WhatsApp helped deliver timely updates, flight tracking supported arrival planning, and an on-site team remained available throughout the stay.

Behind the scenes, additional transport, structured guest services and detailed function planning allowed us to manage the challenges of a large hillside property without making them the guest’s problem. The families could focus on celebrating while we focused on everything that made the celebration possible.
