THE BRIEF
This was a high-volume Mumbai wedding with approximately 500 guests for the Mehendi and Sangeet and around 2,000 guests for the wedding. The functions were held at different venues, with family rituals taking place between the main celebrations.
THE MAIN CHALLENGE
The biggest challenge was maintaining momentum across back-to-back events while moving a very large guest group between venues. With 2,000 guests, even a small delay at arrival, parking, security or entry could quickly become a major bottleneck.
HOW WE SOLVED IT
PLANNING FOR 2,000 GUESTS
At this scale, guest movement has to be designed almost like an operation. Entry points, parking, security, family/VIP movement, guest queues, transport and venue access all need separate ownership, with one central team monitoring the complete picture.
Large-Scale Guest Communication
A wedding website or app can give guests one central source of truth for every venue, timing, dress code, parking instruction and location. For a 2,000-guest wedding, segmented WhatsApp communication can then be used to send only the information relevant to each guest group.
Arrival & Movement Planning
We divided guest arrivals into controlled windows and created separate movement plans for family, VIPs and general guests. On-ground teams at key points managed parking, walking routes, entry queues and venue transitions, keeping the main hospitality team free to look after the guest experience.
Back-to-Back Function Management
Family rituals were treated as part of the master schedule rather than separate events. A central production and hospitality control desk tracked every function, vendor reset and transport movement, allowing the team to anticipate pressure points before they affected guests.
Turning the Mehendi into an Experience
The live perfume bar allowed guests to create their own fragrance, giving the Mehendi a memorable interactive element and a personalised takeaway.

The couple’s cold-pyro entrance was timed as a clear opening moment for the reception, creating impact without slowing the guest flow
