THE BRIEF


This was a large Mumbai celebration with very different scales across the wedding journey—approximately 400 guests for the Mehendi and Sangeet, followed by a 1,500-guest wedding and reception. The brief was to make the transition between venues and guest volumes feel seamless.

THE MAIN CHALLENGE


The central challenge was guest movement and management at scale. With the smaller pre-wedding events at Tote on the Turf and the much larger wedding at Grand Hyatt Mumbai, arrival patterns, parking, entry points and internal movement needed to be planned very differently for each stage.

HOW WE SOLVED IT


VENUE & CITY STRATEGY

With The Wedding Co. based in Mumbai, a city wedding allows the planning team to use local knowledge as a genuine advantage: traffic patterns, access points, loading restrictions, vendor movement and realistic travel windows can be planned well in advance rather than treated as last-minute logistics.

City-Wedding Guest Management

For a Mumbai wedding, we used the advantage of being locally based to create a central operations desk, supported by digital RSVP and a wedding website with venue maps, parking instructions, arrival windows and function details. WhatsApp updates could then be segmented by guest group and event.

Managing a 1,500-Guest Arrival

We divided guest arrivals into clearly communicated entry zones and arrival windows, with on-ground teams positioned at parking, hotel and venue access points. This reduced bottlenecks and kept hospitality focused on the guest.

Experience Before the Main Wedding

The live perfume bar at the Mehendi was designed as an activity rather than a conventional gift. Guests created their own fragrance and left with something they had personally made.

Food & Beverage as a Social Experience

The Sangeet’s mixology bar was curated as part of the evening atmosphere, giving guests an interactive bar experience rather than treating beverages as a service point.

Making the Reception Entry Personal

The bride wanted a traditional dholi entry but with greater drama. We built the entry around dancers and performance so the traditional element became a complete stage moment rather than simply a mode of arrival.

MAKING A GIFT INTO AN EXPERIENCE

The perfume bar was a particularly strong example of experiential hospitality: instead of simply handing guests a favour, the wedding gave them an activity and a personalised object to take home. This is the kind of detail that can make a smaller function memorable without requiring a large production setup.

DIGITAL GUEST MANAGEMENT

A Mumbai wedding website or app can hold parking instructions, venue maps, event timings, dress codes and family-specific information. Segmented WhatsApp alerts can then communicate only the information relevant to each guest group, reducing unnecessary messages.

MANAGING TWO VERY DIFFERENT SCALES

The jump from approximately 400 guests at the Mehendi and Sangeet to 1,500 guests at the wedding required two different operating models. The smaller functions could be more interactive and intimate, while the main wedding needed controlled arrival zones, clear entry routes, parking coordination and multiple guest-facing teams.

THE FINAL OUTCOME


The wedding demonstrated the advantage of planning a large Mumbai celebration with a team that understands both the city and the guest journey. By treating movement as a planning discipline and adding interactive experiences to the smaller functions, we kept a 1,500-guest celebration organised without allowing scale to dilute the personality of the wedding.
